General Statement of Duties: To assist new and existing patients, family and care givers in a timely and caring manner. Answer multiline telephone system. Check-in and check-out patients. Scheduling patient’s appointments. To perform clerical general office and accounting tasks as necessary to ensure an efficient and effective medical office.
Reporting/Supervisory Relationship: Front Desk Supervisor or Reimbursement Manager
Typical Physical Demands: Sitting, standing, walking, bending, stooping, twisting, reaching overhead and lifting up to 40lbs.
Typical Working Conditions: Busy office environment. Works with public, physicians and patients.
Essential Job Duties:
- Telephone Calls
- Answer incoming calls within 3 rings.
- Direct calls to appropriate person and take messages.
- Check-in
- Greet patients-determine needs – responds accordingly
- Verify all billing and insurance information. Obtain “New Patient” Information Form” for all new patients and patients with changed information. Review these for completeness and request any missing information as necessary, including insurance status. Updating signature every 6 months on release forms. Distributing HIPAA awareness forms. Request treatment records from referring doctors and hospitals.
- In-put new patients and patient updates in computer daily.
- Check-out
- Enter patient charges and receipts for office visits and procedures.
- Check-out patients encouraging payments at time of visits, collect co-payments and balances.
- Total and balance charges and receipts making sure receipts and charges match computer system.
- Scheduling
- Schedule office visits: New Patients; Requesting diagnostic films and medical records, Follow-up; Attorney referrals: worker’s compensation patients according to doctor’s policy and procedurals. .
- Call patient’s 24 hours in advance to verify their office appointments.
Other Job Duties:
- Assist in filing charts and reports as necessary. Check prescription line hourly for requests.
- Support and assist co-workers as needed.
- Attend annual HIPAA and OSHA training. Reports any perceived hazards to their supervisor or OSHA Safety Officer upon discovery.
- Handle all patient and office matters courteously, efficiently, timely and confidentially.
- Maintain a professional demeanor at all times with patients, physicians, and
co-workers.
- Maintain Attendance and Punctuality standards.
- Always appear well-groomed – observe SSI dress code.
Job Knowledge, Skills and Abilities: Effective interpersonal skills. Excellent verbal and communication skills. Basic math skills. Pleasant telephone voice and manner. Working knowledge of office business machines. Accurate typing skills. Basic data entry skills. Attention to detail and able to train.
Education: High school diploma or one year related experience
Experience: Previous experience in a physicians office preferred but not required.
License: NA
