Medical Records Specialist

Area: Medical Records

General Statement of Duties: Performs the functions of record assembly, answering the phone, department initial customer greeter. Assist physicians and Medical Assistants with incomplete charts. Pulls charts as requested for clinic appointments or other clinic business. Responsible for filing of all paperwork, and returned charts on a daily basis. Performs other filing duties as instructed.

Reporting/Supervisory Relationship: Medical Records Supervisor

Typical Physical Demands: Work is of medium demand requiring personal contact, extensive sitting and bending daily to collect, review and replace charts/loose material and walking up and down stairs. Requiring bending, stooping, reaching, walking and lifting up to 20 lbs. Use computer video display, telephones, copiers, microfilm, fiche reader/printer and fax machine.

Typical Working Conditions: Busy office environment. Works with public, physicians and patients.

Essential Job Duties:

  1. Pulls charts in appropriate order according to chart order and procedures in department, checking EVERY page for name accuracy.
  2. Follows up on any inconsistency immediately with appropriate unit.
  3. Creates new folders, if needed.
  4. On a daily basis, files loose reports pertaining to patients and medical records. Files in the appropriate patient records with few errors.
  5. Answers incoming calls using proper telephone etiquette.
  6. Takes complete and accurate phone messages with no errors, includes caller’s name, place of employment (if applicable), time and date of call, and accurate return phone number.
  7. Projects to each caller the desire to provide service and assistance.

Other Job Duties:

  1. Attends staff meetings as requested.
  2. Demonstrates a personal commitment to the Continuous Quality Improvement process.
  3. Follows HIPAA and OSHA guidelines and reports any perceived hazards to their supervisor or OSHA Safety Officer upon discovery.
  4. Completes other tasks as directed by the Supervisor of Medical Records.
  5. Sets realistic goals and objectives toward improving personal performance.
  6. Keeps abreast of all new and revised clinic and department policies and procedures concerning appropriate performance of duties

Job Knowledge, Skills and Abilities: Medical terminology helpful, good organizational skills. Able to work well under stressful situations. Appropriate use of grammar required. Team player.

Education: High School Diploma

Experience: Medical records experience in a health care setting.

License: NA
